This Privacy Commitment explains, in plain language, what we do — and what we will never do — with your data.

What Information We Receive

To provide school photography services, we may receive limited information from your school or directly from you, such as:

• Student name
• Grade and teacher
• School name
• Parent/guardian name and contact information (email, phone, mailing address)
• Order details

We only collect the information necessary to photograph students, organize images, and deliver orders.

How We Use Your Information

We use this information only to:

• Match photos to the correct student
• Provide secure gallery and ordering access
• Deliver photo orders
• Communicate important information about Picture Day
• Provide customer support

Private Online Galleries

Student photos are shared through secure, private online galleries. Access is limited to families using a unique link or access code. Galleries are not publicly searchable and are not used for advertising.

Facial Recognition and Artificial Intelligence

• We do NOT use facial recognition technology or biometric data to identify or tag students.
• We also do NOT use student photos or personal information to train artificial intelligence (AI) or machine learning systems.

Sharing Images With Schools

Schools receive one copy of each student’s image for official school purposes, such as:

• Student information systems
• ID cards
• Yearbooks (if requested by the school)

Schools are responsible for how they use images within their own systems.

What We NEVER Do

We want to be absolutely clear:

• We never sell your personal information.
• We never share your personal information with advertisers or marketers.
• We never use student data for unrelated business purposes.
• We never publish student names with photos without school authorization.
• We never use student images in advertising without explicit permission.

Who May Access the Information

Access is limited to:

• Our small photography team who need it to perform their job
• The school or organization that hired us
• Trusted service providers who help us operate securely (for example, secure cloud storage and ordering platforms)

All service providers are required to protect your information and use it only for the services we request.

How We Protect Your Information

We take data security seriously. We use industry‑standard safeguards including:

• Secure, password‑protected systems
• Encrypted storage when available
• Limited access controls
• Offline backups stored securely

Archiving and Retention

We maintain secure backups of images and order information for archival purposes. Archived images are not kept online or publicly accessible long‑term.

If families wish to access older photos after they have been archived, they may contact us to request retrieval. An unarchiving fee may apply due to the manual process required.

Your Choices

You may:

• Request access to the information we have about you or your child
• Ask us to correct inaccurate information
• Request deletion of your information (subject to school requirements and legal obligations)
